Our Terms and Conditions
SECTION A) DECLARATION
AS A RESPONSIBLE MUSIC SCHOOL we have clear Terms and Conditions so that all those who choose to use The Artistic School of Music are fully aware of how the Artistic School of Music operates. Our Terms and Conditions apply to everyone who uses The Artistic School of Music and are not flexible or negotiable.
SECTION B) PAYMENT OF LESSONS
1. WE ONLY DO MONTHLY PAYMENTS FOR LESSONS.
2. MONTHLY PAYMENTS FOR LESSONS ARE NOT REFUNDABLE UNDER ANY CIRCUMSTANCES AND WE DO NOT TRANSFER CANCELLED MONTHLY PAYMENTS TO THE NEXT MONTH OR ANY OTHER STUDENT (FOR EXAMPLE: A SIBLING).
3. WE REQUIRE PAYMENT FOR ALL THE WEEKS IN THE MONTH EVEN IF YOU ARE NOT ATTENDING YOUR LESSON, as your monthly payment reserves your studio time, lesson day and lesson time for the month so others can’t book it and gives you priority over others to re-book your studio time, lesson day and lesson time again for the next month.
4. WE DO NOT REFUND MISSED OR CANCELLED LESSON UNDER ANY CIRCUMSTANCES.
5. IF YOU HAVE INFORMED US THAT YOU WILL NOT BE ATTENDING YOUR LESSON/LESSONS FOR THE MONTH by sending an email to ArtisticLR@gmail.com (The Rescheduling Team), your lesson day and time will no longer be available to you and will be put on the Free Space table by the rescheduling team for others to request rescheduling of their lesson to your lesson day and time that is not being used.
6. THE INVOICE WE SEND YOU EACH MONTH MUST BE PAID IN FULL BY THE 1ST OF THE MONTH.
7. IF WE DO NOT RECEIVE FULL PAYMENT OF YOUR INVOICE BY THE 1ST OF THE MONTH, ON THE 2ND OF THE MONTH YOUR LESSON DAY AND LESSON TIME BECOME AVAILABLE FOR OTHERS TO BOOK AND YOU CAN LOSE YOUR LESSON DAY AND LESSON TIME.
8. WE WILL NOT INFORM YOU IF YOU HAVE LOST YOUR LESSON DAY AND LESSON TIME DUE TO NON PAYMENT OF YOUR INVOICE IN FULL BY THE 1ST OF THE MONTH.
9. IT IS SOLELY YOUR RESPONSIBILITY TO INFORM US THAT YOU HAVE NOT RECEIVED YOUR INVOICE FOR THE MONTH.
10. WE WILL ONLY DO LESSONS WHEN WE HAVE RECEIVED FULL PAYMENT OF YOUR INVOICE if you come to your lesson with your invoice unpaid we will not do your lesson until you make full payment of your invoice and we get confirmation from our bank that your payment has been received.
11. PAYMENTS BEFORE HOLIDAYS: In December (before the Christmas Holidays), in July (before the Summer Holidays) and before The Easter holidays (which can be in March or April, depending on the year) you will be invoiced for the weeks in the month The Artistic School of Music is opened for before the school closes for these holidays. We require full payment for all the weeks in the month The Artistic School of Music is opened for before the school closes for the Christmas Holidays, the Summer Holidays and the Easter Holidays even if you are not attending your lesson.
SECTION C) HOLIDAYS AND TERMS DATED FOR THE ACADEMIC YEAR 2024-2025
- WE DO NOT HAVE HALF-TERM HOLIDAYS AND THE SCHOOL WILL BE OPEN AS USUAL.
Our term dates for the academic year 09/09/2024 – 24/07/2025 are:
TERM 1) 09/09/2024 – 20/12/2024
TERM 2) 06/01/2025 – 06/04/2025
TERM 3) 22/04/2025 – 20/07/2025
WE OFFER LESSON THROUGH THE SUMMER HOLIDAYS AND EASTER HOLIDAYS, PLEASE SEE SECTION J AND SECTION K BELOW FOR FULL DETAILS OF HOW TO BOOK LESSONS.
SECTION D) REQUEST RESCHEDULING OF LESSON
1. WE DO NOT OFFER LESSONS RESCHEDULING AS A SERVICE AND ARE NOT OBLIGATED TO PROVIDE IT, however as a gesture of goodwill we have created a Request Rescheduling Page to keep Students, Parents and Legal Guardians informed of any free spaces that may occur on their teacher’s monthly schedule through the course of the month that they can request to be used to reschedule their lesson in strict accordance with the rules set out in section D points three to fifteen of our terms and conditions.
2. The Request Rescheduling Page can be accessed by going onto our website and pressing on the three green dots on the top right of our web page (shown by the red arrow in the picture below) and selecting the Request Rescheduling drop down list.
3. We only reschedule missed or cancelled lessons with your own teacher within the same calendar month they are missed or cancelled in and only if your teacher has free space in their monthly schedule to do so.
4. We do not transfer missed or cancelled lessons to the next month or any other month.
5. If you are unable to find a suitable date and lesson times for your teacher on the Free Space table (found on the Request Rescheduling Page) or there is none displayed on the Free Space Table for your teacher (found on the Request Rescheduling Page) you can not request your lesson to be rescheduled.
6. It is solely your responsibility to access and use the Request Rescheduling Page to complete and submit a Lesson Rescheduling Request Form if you want to request a lesson to be rescheduled.
7. Students, Parents and Legal Guardians can contact the Rescheduling Team to inform them that they will not be attending a lesson in the current calendar month so that others can use this free space in the school schedule to reschedule their lessons to and in turn create more free space day and time options in the school schedule for everyone to use.
8. If you notify the rescheduling team that you will not be using your lesson day and time slot for the current calendar month, your lesson day and time slot will no longer be available to you to use.
9. We can not action a Lesson Rescheduling Request until we receive a Lesson Rescheduling Request Form.
10. We will only reply to emails that have a Lesson Rescheduling Request Form submitted or emails from students/parents/legal guardians that are informing us that they are unable to attend lesson/lessons for the current calendar month.
11. If you select a Black Day on the Free Space table on the Request Rescheduling Page to request your lesson to be rescheduled, we are unable to reschedule your lesson as a Black day on the Free Space table is a day where your teacher schedule is fully booked and they have no free space in their schedule.
12. If there is more than one student who requires a lesson rescheduling request, you must submit a Lesson Rescheduling Request Form for each student.
13. We require a minimum of 24 hours notice to reschedule your lesson.
14. If your lesson is rescheduled to a new date and lesson time, the lesson you have requested to be rescheduled is no longer available to you.
15. Lesson rescheduling requests are actioned on a first come first serve basis.
For example:
If someone submits a Lesson Rescheduling Request Form for the same teacher requesting the same free space date and lesson time as the one you are requesting and their form appears in our inbox before yours, their lesson will be rescheduled and you will be informed that we are unable to reschedule your lesson as someone else has booked it before you.
16. We only reschedule your lesson once.
FOR EXAMPLE :
If you requested your lesson to be rescheduled from the 1-10-2024 lesson time 4pm-5pm to the 5-10-2024 lesson time 6pm-7pm and we reschedule your lesson as you requested, we will not reschedule again the lesson on 1-10-2024 lesson time 4pm-5pm and we will not reschedule your rescheduled lesson on the 5-10-2024 lesson time 6pm-7pm.
If you want to make a rescheduling request for a 60 minute lesson and your teacher does not have a 60 minute white day lesson time available then you have the option of choosing two 30 minute white day lesson times for your teacher, each of these 30 minute lessons will only be rescheduled once (as explained in the example in section D Request Rescheduling of Lesson, point 14 of our Terms and Conditions) and if we rescheduled your lesson, even if it only a 30 minute lesson of the full 60 minute lesson you are trying to reschedule, your 60 minute lesson you are trying to requested rescheduling for is no longer available to you.
If you only managed to get 30 minutes of your 60 minute lesson rescheduled you can keep trying to request the remaining 30 minutes to be rescheduled in strict accordance with the rescheduling rules set out in Section D (Request Rescheduling of Lesson) point three to fifteen of our Terms and Conditions.
17. You can only request lessons you have booked for the month to be rescheduled.
FOR EXAMPLE:
If your lesson is on a Tuesday, in the month of October in the year 2024 there are five Tuesdays in the month and your lesson days would be on the 1st, 8th, 15th, 22nd and 29th of October; you can only select from these five lesson dates if you require a lesson to be rescheduled in the month of October in the year 2024.
18. IN THE EVENT YOU ARE UNABLE TO TRAVEL TO YOUR LESSON THE OPTION OF AN ONLINE LESSON IS AVAILABLE to you on the same day and at the same lesson time only.
SECTION E) TEACHER UNABLE TO ATTEND LESSON
1. IF YOUR TEACHER IS NOT ABLE TO ATTEND THE LESSON AND A COVER TEACHER IS PROVIDED, we do not refund the cost of your lesson if you choose not to attend the lesson. The Cover teacher will be one of the teachers already working at the school with the same skill sets as the teacher unable to attend the lesson. The cover teacher will have access to all student notes from the teacher unable to attend the lesson and will know exactly what is required to be taught.
SECTION F ) PERMANENT CHANGE OF LESSONS POLICY
1. If you request a permanent lesson time, day or both lesson time and day to be changed, we will do our best to accommodate your request if there are spaces available; if there are no spaces available, we will not be able to change your lesson time, day or both lesson time and day.
2. If we can change your lesson time, day or both lesson time and day, once you accept your new lesson time, day or both lesson time and day; your previous lesson time, day or both lesson time and day will no longer be available as these lesson times and days will be offered instantly to other students who have made a similar request and to students on our waiting list to join the school.
SECTION G) CONSUMPTION OF FOOD AND BEVERAGES ON OUR PREMISES
We do not allow any students to chew gum on our premises or consume food on our premises, drinks or water in a a secure water bottle with a lid is permitted as long as it is kept on a chair on the studio and away from any electrical items.
SECTION H) ZERO TOLERANCE POLICY – CODE OF CONDUCT
WE HAVE A ZERO TOLERANCE POLICY towards anyone who verbally abuses, harasses, uses bad language, threatens, or carries out any acts of violence or inappropriate behaviour towards any of our staff. In the event, that this occurs we will ask the individual/individuals concerned to leave our premises immediately and they will no longer be allowed to enter our premises or use the Artistic School of Music.
SECTION I) PARENT / LEGAL GUARDIAN CONSENT FORM
1. ANY STUDENT BELOW THE AGE OF 18 IS CLASSED AS A MINOR. IF YOU ALLOW YOUR CHILD TO ENTER OUR PREMISES AND WALK UNACCOMPANIED BY YOU TO THEIR LESSON, THEN YOU DO SO AT YOUR OWN RISK AND LIABILITY. We ask that all minors be escorted to their music lesson by a parent or legal guardian and handed over to the teacher.
2. ALL STUDENTS BELOW THE AGE OF 18 ARE REQUIRED TO SIGN A CONSENT FORM TO BE ALLOWED TO LEAVE THE MUSIC LESSON ON THEIR OWN, ONCE IT IS FINISHED. The Consent Form will be given by your teacher once you enrol for lessons with us, it will have to be signed and given back to your teacher. Please note these forms can only be completed and signed by the
a parent or legal guardian of the student.
SECTION J) SUMMER HOLIDAY LESSONS AND BOOKING
- EVERYONE WILL BE SENT A SUMMER HOLIDAY TEACHER AVAILABILITY SCHEDULE TWO WEEKS BEFORE THE START OF THE SUMMER HOLIDAYS WHICH WILL SHOW THE AVAILABILITY OF ALL TEACHERS DURING THE SUMMER HOLIDAYS.
- IF YOU WISH TO BOOK LESSONS DURING THE SUMMER HOLIDAYS YOU CAN BOOK THE LESSONS WITH YOUR TEACHER ( IF THEY ARE AVAILABLE DURING THE SUMMER HOLIDAYS) DURING THE LESSON OR BY CONTACTING THE BACK OFFICE BY EMAIL ONLY AT artisticmeoffice@gmail.com
- IF YOUR REGULAR TEACHER IS NOT AVAILABLE DURING THE SUMMER HOLIDAYS YOU HAVE THE OPTION OF BOOKING ANOTHER TEACHER WHO IS AVAILABLE DURING THE SUMMER HOLIDAYS
- LESSON WILL BE BOOKED ON A FIRST COME FIRST SERVE BASIS.
SECTION K) EASTER HOLIDAY LESSONS AND BOOKING
- EVERYONE WILL BE SENT AN EASTER HOLIDAY TEACHER AVAILABILITY SCHEDULE TWO WEEKS BEFORE THE START OF THE EASTER HOLIDAY WHICH WILL SHOW THE AVAILABILITY OF ALL TEACHERS DURING THE EASTER HOLIDAYS.
- IF YOU WISH TO BOOK LESSONS DURING THE EASTER HOLIDAYS YOU CAN BOOK THE LESSONS WITH YOUR TEACHER ( IF THEY ARE AVAILABLE DURING THE EASTER HOLIDAYS) DURING THE LESSON OR BY CONTACTING THE BACK OFFICE BY EMAIL ONLY AT artisticmeoffice@gmail.com
- IF YOUR REGULAR TEACHER IS NOT AVAILABLE DURING THE EASTER HOLIDAYS YOU HAVE THE OPTION OF BOOKING ANOTHER TEACHER WHO IS AVAILABLE DURING THE EASTER HOLIDAYS
- LESSON WILL BE BOOKED ON A FIRST COME FIRST SERVE BASIS.
SECTION L) EXAM REHEARSAL SERVICE
- We provide our studio and one of our approved pianists for Singing and Violin exam rehearsals only, this service is only available if you use one of our own approved pianists and is not available if you use your own independent pianist.
- We charge £20(VAT inclusive) for 30 minutes of exam rehearsal and £37.20(VAT inclusive) for 60 minutes of exam rehearsal and this payment can not be refunded.
- The pianist we provide can be any of our approved pianists, depending on availability.
- The pianist we provide will be at the exam Centre on the day of the exam. The pianist we provide will have to be paid £30 before the exam day, during your rehearsal, if they are not paid before the exam, they will not be able to play for your exam. The £30 you pay the pianist we provide can not be refunded.
- The pianist we provide will not be able to do any rehearsals with you on the day of the exam at the exam centre as they will be playing for multiple exams.
- Your Regular teacher only provides classes and does not attend exam rehearsals or exams. The only exception to this rule is if your regular teacher is also one of the pianists on our approved pianist list and has been selected (if available) to do rehearsals and attend your exam as the pianist.
SECTION M) PARKING
OUR PARKING RULES ARE IN LINE WITH LOCAL AUTHORITY REQUIREMENTS AND FAILURE TO COMPLY WITH OUR PARKING RULES WILL RESULT IN OUR DRIVEWAY NO LONGER BEING AVAILABLE FOR YOU TO USE
Rules to use our driveway
- Our driveway is available for anyone using our facilities only on a first come first serve basis, and only for pick up and drop off. You must leave immediately after your lesson has ended so others can also use the driveway.
- OUR DRIVEWAY CAN ONLY BE USED FOR DROP OFF AND PICK UP AND YOU CAN NOT PARK IN OUR DRIVEWAY.
- A maximum of 2 cars can be parked in our driveway at any time. Please ensure you park in two clear lanes, please see how to park in our driveway diagram below.
- Under no circumstances should cars be parked on the pavement blocking the driveway entrance or on the pavement outside our driveway blocking the pedestrian pathway.
- You park your car in our driveway at your own risk and we accept no responsibility or liability for any damage that may occur to your car while parked in our driveway.
- Any damage your vehicle causes to the property or any other vehicle parked in the driveway is solely your responsibility and your liability.
